Terms of Business
Rebecca Wheeler Photography, Last updated: 04.08.2025. By booking with Rebecca Wheeler Photography, you agree to the following terms and conditions. These are designed to ensure a transparent, professional, and personalised experience for every client.
1. Booking & Deposits
A 20% non-refundable deposit, is required to secure your chosen booking date and initiate planning. This ensures time, availability, and resources are reserved specifically for you.
If cancellation occurs, I’ll work with you to reschedule your session at no extra cost, subject to availability.
Full cancellations will forfeit the deposit, unless exceptional circumstances apply, assessed on a case-by-case basis.
In the rare event that I must cancel your booking, a full refund will be provided, and I’ll assist in helping you find an alternative photographer who can match the service, style, and quality you’d expect from me.
2. Cancellation Procedure
To cancel a booking, please contact me via email or phone at least 3 working days prior to your session or event.

Cancellations made with less than 3 working days’ notice may incur charges to cover time, preparation, and resource costs already committed.
If your booking involves specialist equipment, location hire, or external creatives (e.g. makeup artists, stylists, drone operators), any non-refundable fees or cancellation costs tied to their involvement will be passed on to you. These will be clearly itemized and discussed during booking.
If rescheduling is preferred, I’ll do my utmost to find a mutually suitable alternative date and time.
3. Payment Terms
All payments must be made securely via bank transfer or PayPal.
I do not accept cash payments or deposits on the day of your session.
Wedding packages must be paid in full at least 7 days prior to the wedding.
Corporate or event bookings require full payment upfront or at least 10 working days prior to the event.
All other photography services must be paid at least 24 hours before your scheduled session, unless agreed otherwise in writing.
4. Under 18s & Safeguarding
All clients under 18 must be accompanied by a legal parent or guardian for the duration of the session.
Only appropriate and respectful imagery will be captured, in line with safeguarding policies.
If age verification is necessary, proof of ID will be requested.
By accepting these terms, you confirm consent for your minor to be photographed.
Written permission from a legal guardian will be required for any imagery intended to be used for social media, website use, or promotional materials, by Rebecca Wheeler Photography.
5. Copyright & Image Use
All photographs remain the intellectual property of Rebecca Wheeler Photography.
You are granted a personal usage licence to use your final images across:
Social media
Personal websites
Prints
Non-commercial publications
Images may not be resold, heavily edited, or claimed as your own work.
For commercial or press-related usage, written approval and licensing terms must be agreed before the shoot.
6. Image Style, Variability & Reference Inspiration
Final results may vary due to weather, lighting, location and subject conditions, which are often beyond my control.
Reference photos or requested poses are welcomed as inspiration, but should be seen as creative guides rather than guaranteed replicas.
I will always work with you to create something unique, authentic, and tailored to your session’s atmosphere and setting.
7. Drone Footage
Drone footage is available as an optional enhancement, depending on:
Weather conditions on the day
Licence permissions and airspace regulations
Venue policies or permit restrictions
I will research drone viability prior to your session and help advise whether this can be included safely and legally.
8. Image Turnaround & Technical Contingency
Standard image turnaround may take between 4 - 8 weeks during peak seasons or for large-scale projects.
Regular updates and sneak previews will be shared whenever possible to keep you informed.
For time-sensitive needs, expedited delivery may be available—please mention this at booking.
In the unlikely event of equipment failure, file corruption, or loss of imagery, a full refund will be issued, and the situation handled professionally and transparently.
9. Dispute Resolution
If you are dissatisfied with the quality of the images or service received, I request that all concerns be submitted in writing, with a detailed explanation outlining how expectations were not met.
While I reserve the right to refuse any remedy, I will always strive to ensure the final product and experience meet or exceed your expectations.
In circumstances where the issue is attributed to the photographer or approved third-party collaborators (e.g. stylists, drone operators), I may offer to reshoot affected work, where feasible, such as in the case of product photography or promotional material.
All disputes will be handled professionally, and your feedback will be taken seriously as part of my commitment to high-quality service.
10. General Terms
All bookings are subject to availability and confirmed only once the deposit is received.
I reserve the right to decline or cancel bookings if terms are not upheld, or if circumstances prevent safe and professional service delivery.
These Terms of Business may be amended periodically. The most recent version will always be available upon request or via my website.
